Booth Set Up & Exit Information
Hello, Partners!
Our intent is to create a safe, smooth and efficient procedure for everyone. The limiting factor of one entrance/exit into the Bowl makes this our biggest challenge. We kindly ask you to follow the assigned set up time and protocols for move-in and exit. We cannot have everyone’s vehicles on the drive simultaneously.
Wellness Partner Arrival Time (Saturday 8/3): Arrival time is based on your field location and the number of vehicles we are permitted by the school to have at the bottom of the drive. Once you have unloaded your vehicle at the track, one of your members will need to immediately take your vehicle back up to the Washington State Historical Society parking lot where you can park until you are done setting up. We have volunteers at the top of the drive and bottom of the drive to help facilitate. We also have volunteers on the field to direct you to your location and help you with anything you need.
Please also note that there is no set up allowed on Saturday 8/3 before 4pm and after 7pm. We hire security to watch the field from the moment we leave until we arrive on Sunday.
Food Garden Partner Arrival Time (Sunday 8/4): Arrival time is based on your field location and the number of vehicles we are permitted by the school to have at the bottom of the drive. Once you have unloaded your vehicle at the track, one of your members will need to immediately take your vehicle back up to the Washington State Historical Society parking lot if there is room available (please note this lot will be locked from 9am – 10:45am so if you need access to your vehicle during that time do not park here). We have volunteers at the top of the drive and bottom of the drive to help facilitate. We also have volunteers on the field to direct you to your location and help you with anything you need.
Please note no vehicles are permitted on the drive after 8AM due to participant foot traffic.
Post Race for Wellness and Food Garden Partners: If you would like to take down your booth and exit the bowl on foot without utilizing your vehicle on the drive (loading at the track), then you will be able to leave without being assigned to a staging area.
However, if you want to bring your vehicle down the drive to the staging area to load your tent/tables, then we need you to follow the exit plan and not attempt to retrieve your vehicle before you are assigned a spot in the staging area.
Once your booth has been disassembled and you are ready to move out you can alert Lisa (Wellness area) or Alyce (Food Garden) and they will direct you further. If you cannot locate Lisa or Alyce immediately, ask another volunteer in a yellow shirt to assist you in locating Lisa or Alyce.
We ask you to be patient with the process and remember we are limited to the number of vehicles on the drive into the bowl. Please trust that we have organized this with safety in mind.
IMPORTANT FOR ALL:
- If you cannot make your scheduled time, then you will not be able to use the drive into the bowl to unload at the track. You will need to drop your items at the top of the drive into the bowl and walk them down to the field.
- No vehicles are permitted to park on the drive into the bowl except for our authorized personnel.
- Please review your booth contract for requirements on tent ballast and wood squares for tent/chair/table legs.
- Parking options for Race Day, Sunday 8/4:
• Washington Historical Society: first come, first serve. NOTE: this gate will be locked from 9AM – 10:45AM on Sunday, so if you need to access your vehicle during this timeframe, please do not park here.
• Stadium High School Parking Garage: first come, first serve
• Street parking where authorized: first come, first serve
• Behind Stadium High School: you will have to walk up and down the stairs if you park here, and you will not be able to access the stairs once the race begins until it is officially over (9AM – 11AM) for safety reasons.
